Back 1. Can I create a database of contacts in the EventElephant system?
EventElephant allows you to create and save a list of contacts who you would want to invite to your events, send out reminders to or generally communicate with. You can add to your list of contacts on an ongoing basis.

Back 2. Can I import contact information into a database?
You can import existing contact lists from Excel or via CSV files or you can add fresh new contacts. The system gives you step by step instruction and makes it easy for you to do both.

You can also manually input new contacts whenever you wish.

Back 3. Can I edit the database?
Yes you can edit the details of individual contacts. You can do this in both the ‘My Database’ part of My Dashboard and also the ‘Contacts’ Tab in the Event Control Area for each event.

Back 4. Can I search my database?
Yes you can search your database in the ’My Database’ part of My Dashboard and the ‘Contacts’ Tab of the Event Control Area for each event. In the former you can search for;

Contact surnames

Contact groups

Contacts who have ‘opted in’ to receive communication from you

The name of events that you have created

Back 5. Can I delete a contact from my database?
Yes, you can delete a contact completely from your database both under the ‘Contacts’ Tab/Actions in the Event Control Area for each event, and the ‘My Database’/Actions area of My Dashboard.

Back 6. Can I delete a group of contacts from my database?
Yes, you can delete groups of contacts when you are in the ‘My Groups’/Actions part of ‘My Database’ of My Dashboard.

Back 7. Can I pull specific contacts from my whole database and assign them to individual events?
Yes – when you are working on an individual event, you can view your whole database and simply pull or assign contacts from it and add them into an event specific database, (a group).

You can do this in the ‘Contacts and Database’ area of the Event Control Area for each event.

Back 8. Can I create different groups of contacts?
You are able to save contacts as individuals or as groups.

You may want to divide your contacts into groups for each event for example, or to create a group of ‘marketing managers’ that you want to invite to all your events, or to create a group of ‘friends’ that you only want to invite to parties or reunions.

Back 9. Can my database comply with the latest Data Protection Act?
EventElephant also allows your attendees to decide to ’opt in’ to receiving further marketing mailings for your events, or to decide that they don’t want to receive mailings for particular events.

This ensures that you comply with Data Protection Act guidelines and operate to a good standard of permission marketing. The ’opt in’ tick box appears in the emails that attendees receive and in the registration process for the attendee.

The database automatically records when a contact wishes to ‘opt out’ of receiving emails. You will be able to remove all those who have ‘opted out’ every time that you wish to assign contacts to an event. You can do this in the Event Control Area for each event under ‘Contacts and Database’.

Back 10. Where can I create contact lists?
You can create new contact lists in three areas of the product;

1. In My Database, in the My Dashboard area, you can add new contacts to all your events or to any specific group already created.




Or you can start a completely new group from scratch.




Or from My Database, in the My Dashboard area, you can also import and upload contacts by browsing your desktop or from other databases.



2. In the Event Control Area for each event you can add new contacts for individual events by clicking on ‘Contacts’ in the Tab at the top of the page.



3. In the Event Control Area for each event you can also add contacts to a mailing list for an individual event that you can pull from your whole database.

By clicking on ‘Assign contacts to this event’ under the ‘Contacts and database heading’ you can call up names from your database and add them to the mailing group that you are working on. You do this simply by highlighting and selecting each contact that you want to ‘import’ and then clicking ‘add’.

Back 11. Can I send emails direct to my contacts?
Yes you can.
The EventElephant system is set up so that you can email straight to either individual contacts or to groups of contacts. You can email to them either from existing contacts in your database or as you add new contacts to your database.

You can email to your contacts from both the My Dashboard area or from the Event Control Area.

Back 12. How do I add my event site to my social networking site?
Very easily! EventElephant sites can now be integrated in to your social networking site at the click of a button.

On each event site, and in each “Event Control Area” you will find a range of buttons which relate to the many social networking sites. Simply click on the relevant button and the link to the event site will pop up in your social networking site.

If you can’t see your particular social networking site in the buttons, just click on the “More” button, and up will pop all of the social networking sites that we could think up!
